Responsibilities:

  • Manages and maintains a comprehensive filing system for correspondence, payments, journal
    vouchers and other material.
  • Manages and maintains shared folder of soft files in the local area network, save files and arrange
    sub-folders, secure backups.
  • Ensures that files and other records are secure and confidential papers are accessed only by the
    designated personnel.
  • Receives incoming mail, attaches references if necessary and forwards to supervisor
    ensuring that confidential and or urgent material is handled directly and without delay.
  • Answers the telephone, connect callers as necessary, takes and convey messages, arranges
    appointments and answers general queries.
  • Types a variety of correspondences, letters, memoranda, faxes, reports etc. using computer
    software, proof reads to ensure accuracy and submits to supervisor for review and signature.
  • Arranges for dispatch and circulation of such items and arranges for translation as necessary
  • Prepares routine reports, correspondences, faxes, memoranda and a variety of statistical reports
    about the department’s activities as assigned.
  • Understands goals and strategies and apply them as per the vision of the management.
  • Giving salaries ( Time Sheets ) to all employees and indemnities and vacation salaries and Invoices.
  • Other duties as assigned.
